Refund & Return Policy for GovB2BSupply.com

This Refund & Return Policy outlines the terms that govern all orders placed through GovB2BSupply.com (“we,” “us,” or “our”). By placing an order on our website, you acknowledge that you have read, understood, and agreed to these terms.

GovB2BSupply.com primarily serves businesses, government agencies, educational institutions, nonprofits, and other organizational buyers. These policies are designed to clearly define responsibilities and protect both parties, particularly in the event of disputes or chargebacks.


1. Order Cancellations

Time-sensitive:
Customers may request to cancel an order within 24–48 hours after purchase, provided the order has not yet been processed, fulfilled, or shipped.

To request a cancellation, you must contact our customer support team by phone. Email requests alone may not be sufficient to guarantee cancellation.

Once an order has entered processing, fulfillment, or shipping stages, cancellations are no longer guaranteed.

Certain items, including special orders, procurement items, or pre-orders, may be subject to a 15% cancellation fee to cover administrative and supplier restocking costs.


2. Return & Refund Requests

Return window:
Customers have 30 calendar days from the date of delivery to request a return authorization.

Requests made after this period cannot be accepted.

Condition requirements:
To qualify for a return:

• Items must be unused
• Items must be in original manufacturer packaging
• All manuals, accessories, documentation, and serial labels must be included

Products returned without original packaging or with signs of use may be rejected or subject to reduced refunds.

To initiate a return, customers must contact our support team to obtain a Return Authorization (RA) number.

Returns without an RA number will be refused.


3. Return Shipping Responsibilities

Unless the return is due to:

• our shipping error
• or a verified product defect

the customer is responsible for all return shipping costs.

We strongly recommend using a trackable and insured shipping method. GovB2BSupply.com cannot issue refunds for items that are lost in transit without proof of delivery.


4. Refund Processing

Once your returned item is received and inspected, we will notify you of the approval or rejection of your refund within 5 business days.

If approved, refunds will be issued to the original payment method within 15 business days.

Please note:

• Original shipping fees are non-refundable
• Return shipping costs are non-refundable

unless the return is due to our error or a confirmed product defect.


5. Restocking Fees

Most approved returns are subject to a 15% restocking fee.

This fee helps cover:

• supplier restocking charges
• warehouse inspection
• payment processing costs

The restocking fee may be waived only if:

• the wrong item was shipped by us
• the product is verified to be defective

If returned products are missing components, accessories, or packaging, the refund amount may be reduced or denied entirely.


6. Non-Returnable Items

The following items cannot be returned or refunded:

• Products that have been opened, installed, activated, or used
Software licenses or OEM software (unless defective and unopened)
Gift cards or digital vouchers
Special-order, procurement, or custom-sourced items
• Items marked “non-returnable” at the time of purchase


7. Exchanges

GovB2BSupply.com does not offer direct product exchanges.

If a different item is needed, customers must:

  1. Submit a return request (if eligible)
  2. Place a new order for the desired product

8. Damaged or Defective Items

If your order arrives damaged, incomplete, or defective, you must notify us within 48 hours of delivery.

Please submit:

• photos of the damaged product
• photos of the packaging
• a brief description of the issue

Once verified, we will replace the item or issue a full refund at no additional cost.

Failure to report damage within 48 hours may limit our ability to process claims with carriers.


9. Documentation for Disputes

All requests related to:

• cancellations
• returns
• damage claims
• refunds

must be documented via email or our customer support line.

GovB2BSupply.com retains records of all order communications and transaction data to assist in resolving disputes, payment investigations, or chargeback claims.

Customers should keep records of:

• order confirmations
• RA numbers
• shipping tracking numbers
• proof of return shipment
